Most reputable charter operators hold a date with a deposit and collect the balance before service. Read the cancellation calendar before you pay—peak wedding weekends and holiday sightseeing days often have stricter terms than quiet mid-week shuttles.

Typical deposit structures

Deposits commonly range from 20% to 50% of the estimated total, or a flat retainer for popular dates. The receipt should state the amount, payment method accepted, and what portion is refundable if plans change.

For multi-day cultural tours, operators may request a larger deposit or staged payments because they are blocking a coach and driver across consecutive days.

Keep confirmations in a shared folder for the trip leader, treasurer, or wedding planner so no one disputes what was already paid.

When the balance is due

Balances are often due seven to fourteen days before travel, sometimes earlier for major holidays. Airport-only transfers booked last-minute may require payment in full at booking.

Ask whether headcount reductions after the balance date still change the price. Many contracts lock the vehicle rate even if a few guests cancel.

If your organization needs an invoice and W-9 for reimbursement, request those documents when the deposit is placed—not the night before departure.

Cancellation and date-change windows

Policies vary: full refund minus a fee outside thirty days, partial credit inside two weeks, and little or no refund inside seventy-two hours is a common pattern—but yours may differ. Get the schedule in writing.

Weather, venue changes, and flight rebooks happen. Ask about one free date change if you move within the same season and the coach remains available.

Force majeure language should be clear for both sides. Do not assume a storm or airport closure automatically cancels fees unless the contract says so.

Protecting group organizers

Collect participant contributions before the balance due date when friends or association members are sharing cost. Organizers should not personally float no-shows.

For wedding guest shuttles, align the transportation cancellation date with your venue’s guest-count deadlines so you are not paying for empty rows unnecessarily—or left without a coach after a late surge.

If you must cancel, notify the company in writing (email) and request written acknowledgment of any refund or credit.
